Job Description
A private investment and business environment is looking for an experienced and highly organised Bookkeeper to provide financial and administrative support across a portfolio of companies, trusts and related entities.
This is a varied, hands-on bookkeeping position that will suit someone who enjoys taking ownership of day-to-day financial administration and ensuring that records across multiple entities are accurate, organised and up to date. Formal accounting, tax and monthly financial reporting are managed by external accountants and professional advisors. The Bookkeeper will therefore play an important role in maintaining the underlying financial records, completing reconciliations, managing supporting documentation and ensuring that the external accounting team receives everything required timeously. The position is a half day opportunity, predominantly mornings, and offers considerable flexibility.
What you will be doing:
Bookkeeping & Financial Administration
- Maintain accurate bookkeeping records across multiple companies, trusts and related entities
- Capture and reconcile day-to-day financial transactions
- Complete bank and account reconciliations
- Process and maintain invoices, expenses, receipts and supporting documentation
- Monitor transactions and ensure financial records remain complete and up to date
- Assist with routine banking administration and transaction confirmations
- Maintain supporting records across various bank accounts and entities
- Collate monthly bank statements and financial documentation
- Gather and maintain FICA and other relevant compliance documentation
- Prepare and organise financial information for external accountants and tax practitioners
- Liaise with accountants regarding queries, outstanding information and supporting documentation
- Assist with payroll administration and payroll-related payments
- Maintain accurate bookkeeping records using Xero
- Support payroll processing and administration using SimplePay
- Ensure all financial information and supporting documentation is clearly organised and audit-ready
Company & Trust Administration
- Assist with routine financial administration relating to private companies and trusts
- Maintain organised entity and financial records
- Coordinate financial documentation requiring approval or signature
- Track outstanding financial and administrative requirements
- Liaise with accountants, tax practitioners, bankers, payroll providers and other professional advisors as required
Ad-Hoc Administration
- While this is predominantly a bookkeeping and financial administration position, the successful candidate will occasionally assist with broader administrative requirements
- This may include maintaining electronic filing systems, coordinating documentation, following up with service providers and assisting with general ad-hoc administration where required
- The administrative component is secondary to the core bookkeeping function
What we are looking for:
The ideal candidate will have:
- Solid practical bookkeeping experience
- Approximately 4–7 years' relevant experience within bookkeeping or financial administration
- Experience working across multiple companies, entities or accounts would be advantageous
- Practical working experience with Xero
- Knowledge of SimplePay or similar payroll software
- Strong bank reconciliation and transaction processing experience
- Experience preparing records and supporting documentation for external accountants
- A practical understanding of Pty Ltd companies, trusts and commercial bank accounts
- Confidence using online banking platforms
- Strong Microsoft Excel and general Microsoft Office skills
- Excellent financial record-keeping and document management skills
- The ability to liaise confidently with accountants, tax practitioners, bankers and other professional advisors
- A valid South African driver's licence and reliable transport
